Preparation for Closing the Academic Year

ℹ️ To complete all the steps for preparing to close the academic year, log into the platform from an Administrator, Principal, or Assistant Principal account.

Steps

  1. Check the student lists in the journal. Make sure all students are included in the lists of the relevant subsections in the Settings -> Sections -> Subsections -> Students or via Students menu section, insert the required section/subsection in the Sections filter field and click "Search".

  2. Check the student's start date in the respective section or subsection. Also, verify the student's withdrawal date if they have been expelled. To do this:

    2.1. Go to the "Students" menu section. Select the required student. Click the context menu button next to the student's name and click Sections.
    2.2. The page displays all sections and subsections associated with the student, along with the corresponding enrollment start and end dates (if the student has been expelled).
    2.3. If the date is entered incorrectly, click the context menu button to the right of the section or subsection and select the "Edit" option.
    2.4. Edit the start date for a student with the "Active" status.
    2.5. If you need to edit dates for an expelled student, edit the start date and the end date for a student with the "Archived" or "Deleted" status.

  3. Check the information about students and parents in Section IV of the Journal. Especially for students who left during the year. Specify when and where they left. To edit, go to the "Students" section. Select the required student. Click the "Edit" option (context menu button on the right to the student's name).

  4. Check student attendance. The marks in the "Reports""Attendance Log" section must match the marks in the "Reports""Students' Achievements Records". The Form Teacher must enter all reasons for students' absences in the "My Section""Attendance". There should be no "r.u." marks (reason unknown).

  5. Check teachers in the "Class Schedule" and Journal sections. If there are teachers' substitutions, verify whether the substitution dates for the teacher are correctly entered in the "Class Schedule" section. Find the class with the substitution and then select the "Settings" option.
    In the form, check whether the new teacher is selected in the “Teacher” field. If not, select the required teacher. Click “Apply changes: This class and the following”.
    Also check the "Substitution Logs" menu section.

Check whether all unit, semester, and annual (including adjusted) grades have been entered in the Journal.
