Generating a Unique Registration Invitation Link for an Educational Institution Workspace

Overview

The "Invitations" section is designed for creating and managing unique invitation links for user registration within an educational institution's workspace.

Using this section, an Administrator can generate registration links for users with various roles in the system, including:

  • Administrator;
  • Principal;
  • Vice Principal;
  • Teacher;
  • Student;
  • other roles available within the workspace.

The main page of the section displays a list of generated invitations with the following information:

  • the role for which the invitation was created;
  • the number of users who completed registration using the link;
  • invitation status;
  • creation date;
  • invitation expiration date.

ℹ️ Each invitation link remains active for 7 days from the date of creation.


Creating a Registration Invitation Link

How to Generate a New Registration Invitation Link

  1. Go to the "Invitations" section.
  2. Click "Create Link".
  3. In the "Invite As" field, select the user role.
  4. Click "Submit".

After creation, a new record will appear in the invitations table.


Copying an Invitation Link

To obtain a link for manual distribution:

  1. Find the required invitation in the list.
  2. Click the context menu button on the right.
  3. Select "Copy Link".
  4. In the window that opens, click the "Copy" icon next to the link.

The link will be copied to the clipboard. You can then paste it into an email, document, messenger, or any other communication channel to distribute it to users with the corresponding role.


Sending Registration Invitations by Email

The system allows invitation links to be sent automatically via email.

  1. Go to the "Invitations" section.
  2. Find the generated invitation link in the list.
  3. Click the context menu button on the right.
  4. Select "Send Invite".
  5. Enter one or more email addresses in the field provided.
  6. Click "Send Invitation".

Users will receive a system-generated email containing a link to the registration form. By following the link, they will be able to register in the institution's workspace.


Viewing the List of Invited Users

To view users who have used an invitation link:

  1. Find the required invitation in the list.
  2. Click the context menu button on the right.
  3. Select "Invitees".

A list of users invited through this link will be displayed.

The list includes information about each user (full name and email address), invitation status, who sent the invitation, invitation date, and the expiration date of the invitation link.


Invitation Statuses

Each invited user may have one of the following statuses:

StatusDescription
PendingThe invitation was sent automatically by email, but the user has not yet completed registration.
AcceptedThe user followed the invitation link and successfully completed registration.
RevokedThe invitation was revoked by an Administrator before its expiration date. Registration using this link is no longer available.
OutdatedThe invitation link was replaced with a newer invitation, and the user successfully registered using the newer link.
Expired validity periodThe invitation's validity period (7 days from creation) has ended, so registration using this link is no longer possible.

Revoking an Invitation

If necessary, an Administrator can deactivate an invitation link before its expiration date.

How to Revoke an Invitation

  1. Find the required invitation in the list.
  2. Click the context menu button on the right.
  3. Select "Revoke".

After revocation, users will no longer be able to register using that link.


Link Activity Status

The invitations table includes an "Active" column.

  • ✅ A checkmark is displayed — the link is active and can be used for registration.
  • ❌ No checkmark is displayed — the link is inactive or has expired.

Inactive links cannot be used for new registrations.
